Privacy Policy

9557-8837 Québec inc., operating under the name Alynd Solutions (hereinafter "the Company") is committed to protecting the privacy and security of personal information collected through the use of its Platform (hereinafter "Alynd"). Alynd is an artificial intelligence-powered recruitment management platform. This Privacy Policy (hereinafter the "Policy") therefore describes the nature of the information we collect, how we collect it, the purposes for which we use it, who has access to it, and the rights users have with respect to it. The Policy is designed to ensure compliance with the Law Respecting the Protection of Personal Information in the Private Sector and other applicable privacy laws.

For the purposes of this privacy policy, a user means any natural person who accesses or uses the platform, including to consult, enter, manage, or process information concerning positions to be filled.

By using Alynd, you acknowledge that you have read this Policy and accept its terms.

Information Collected

In the course of using Alynd, we collect the following information:

  • User's First and Last Name
  • Password
  • Company Name
  • Launch Notes
  • Job Description

The Company reserves the right to modify the information collected in order to remain compliant with industry standards.

Information is collected directly through a form integrated into the platform, which is completed or updated by an authorized person, such as a supervisor, member of the human resources team, or member of the legal team. Alynd does not integrate, retain, record, or evaluate candidate personal information under any circumstances. Alynd uses the information collected solely for the purposes stated above, unless the person concerned consents to it or the law permits it.

Launch notes, job description, and all anonymized data will be retained on the platform for a maximum period of six (6) months.

Anonymized or aggregated data will be used:

  • For research purposes; and
  • To improve the platform based on user behavior.

However, launch notes will be integrated into the complete process, meaning they will impact all content produced for a position to be filled.

Cookies and Similar Technologies

Alynd may use cookies, device identifiers, technical logs, or other similar technologies to ensure the platform operates properly, authenticate authorized users, maintain session security, prevent unauthorized access, measure website performance, diagnose errors, and improve services.

Certain cookies or technologies are strictly necessary for the secure operation of the platform and cannot be disabled without affecting access or certain features. When non-essential cookies or technologies are used, including for measurement, analysis, or improvement purposes, Alynd uses them in accordance with applicable requirements regarding consent, information, and privacy settings.

Users can generally control certain cookies or similar technologies through their browser settings, device settings, or, where applicable, settings offered on the website. However, disabling certain cookies or settings may limit access to certain functions, reduce the quality of experience, or prevent secure authentication.

Privacy Settings

By default, Alynd applies a high level of privacy to information recorded on the platform. No personal information should be accessible beyond authorized persons, unless a setting is knowingly modified by an authorized person.

Alynd implements reasonable administrative, technical, contractual, and physical measures to protect the information collected against loss, theft, unauthorized access, viewing, disclosure, copying, use or modification, and against any other privacy incident.

These measures may include role-based access controls, authentication, access logging, encryption of communications or data, secure backup, vulnerability management, personnel training, and contractual confidentiality commitments.

Despite these measures, no electronic transmission or storage method offers absolute security. Any person who believes an account, password, or the confidentiality of information has been compromised must notify Alynd without delay.

Data Storage and International Transfers

The Company hosts Platform data in Canada with OVHcloud, in data centers located in Quebec. Subject to this section, data submitted by the User and retained in the Platform is stored in Canada.

However, certain Platform features rely on third-party artificial intelligence services, including Anthropic (Claude). When the User uses these features, certain content submitted to the Platform, including in particular launch notes, job descriptions, interview questions, instructions, requests, and other similar content, may be transmitted to these providers to enable processing, analysis, and generation of results. In such cases, this information may be processed outside Canada, including in the United States or any other territory where the providers concerned operate or process data.

The User may request complete export of their data in a structured format, upon request. They may also request deletion of their data, which will be processed within a reasonable timeframe without the need to provide justification.

Electronic Messages and Unsolicited Communications

Alynd complies with applicable laws regarding electronic communications, including rules related to commercial electronic messages and unsolicited communications. If a User no longer wishes to receive certain promotional or informational electronic communications, they can use the unsubscribe mechanism provided in these communications or contact Alynd to manage their preferences.

Alynd may, however, continue to transmit necessary or transactional communications, including regarding an account, access to the platform, a support request, a contractual obligation, a security incident, significant changes to services, or personal information, when these communications are permitted or required by law.

Policy Modifications

Alynd may modify this Policy to reflect changes in its practices regarding the collection, use, disclosure, retention, or protection of personal information, as well as changes in its services, technologies, or applicable legal requirements.

Any modifications will be brought to the attention of Users, with a revised update date. Users are invited to consult this Policy regularly to remain informed of any changes.
